Administrative Assistant
The USAID-funded Kosovo Economic Governance Activity (KEGA) is a 5-year project started in April 2019 to reduce public perception of and opportunities for economic corruption through improvement to economic governance, thereby encouraging investment in Kosovo’s economy. This result will be achieved through three main objectives:
  1. Business Environment Improvement;
  2. Strengthened Public Financial Management; and,
  3. Enhanced Strategic Communications.

POSITION DESCRIPTION
Under the direct supervision of the Operations and Finance Director (OFD), the Administrative Assistant (AA) will provide reception services and support administrative activities for the project. The AA will maintain primary points of contact between the project and the public including entry reception and telephone communication services, and administrative and logistic support. The term of assignment is for the life of the project, subject to satisfactory performance. The AA will at all times adhere to, and act according to Chemonics’ Professional Code of Ethics (“Living Our Values”).

SPECIFIC TASKS AND RESPONSIBILITIES
- Administrative Support.
Conduct public reception and telephone communication services (internal and external communications). Monthly communication systems tests, , including satellite phone. Provide daily administrative and logistic support (travel, and lodging, office supplies, copying materials, etc.).
- Office Support. Support office operations, assisting all administrative and technical project staff as needed for contract activities. Provide logistical, planning and material assistance for internal and external events. Interact with local vendors and others as needed. Receipt and logging of tender and other documents.
- Personnel Support. Maintain the human resource database.
- Furniture and Equipment. Maintain current inventory database and inventory tagging.
- Other Tasks. Perform other tasks assigned by the OFD as needed for project activities.

QUALIFICATIONS
- Experience (Required) -
Minimum 2 years’ experience as an administrative and operations assistant, with tasks similar to those listed above.
- Education (Required) - Minimum secondary education.
- Language Skills (Required) – English and Albanian fluency. Knowledge of Serbian language is
- Computer Skills (Required) - Word processing (Microsoft Word), spreadsheets (Microsoft Excel), e-mail (Microsoft Outlook).
- Interpersonal Skills (Required) – Excellent customer service and communication skills. Ability to work professionally, constructively and collaboratively as part of team, meet deadlines, communicate effectively, and deal with diverse partners (including high-level government officials, entrepreneurs and international donors) in a challenging environment.
- Self-Motivation and Guidance (Required) – Ability to manage daily activities and achieve expected results with or without direct oversight and effectively function in a complex, challenging environment.
