Solaborate is seeking a candidate with a pleasant personality and a positive attitude for the Receptionist & Administrative Assistant position.  This is an excellent opportunity to work for a fast-growing innovative company in a technological environment, on a global level.

We are looking for someone who can focus and collaborate, who is dedicated to excellence and is able to deal with emergencies in a timely and effective manner, while streamlining office operations.

Key Responsibilities:


  • Greet and welcome guests as soon as they arrive at the office;

  • Direct visitors to the designated area;

  • Inform the receiving employee for the visitors arrival;

  • Answer, screen and forward incoming phone calls;

  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures);

  • Provide basic and accurate information in-person and via phone/email;

  • Receive, sort and distribute daily mail/deliveries;

  • Administrative Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office;

  • Responsible for confidential and time-sensitive material;

  • Planning and coordinating administrative procedures and systems and devising ways to

  • streamline processes;

  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges) and other documentation based on company policies;

  • Provides administrative support to ensure efficient operation of the office;

  • Order front office supplies and keep inventory of stock;

  • Maintain a company calendar and schedule appointments;

  • Coordinate meetings and conference calls as needed or anticipated;

  • Maintain contact lists, office supply inventories, and logistics;

  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing;


Qualifications:


  • Proven work experience as a Receptionist, Front Office Representative, Administration or similar role;

  • Proficiency in Microsoft Office Suite and Google Suite;

  • Hands-on experience with office equipment (e.g. fax machines and printers);

  • Professional attitude and appearance;

  • Solid written and verbal communication skills;

  • English and Albanian Proficiency is required;

  • Ability to be resourceful and proactive when issues arise;

  • Excellent organizational skills;

  • Knowledge of office management systems and procedures;

  • Multitasking and time-management skills, with the ability to prioritize tasks;

  • Customer service attitude;

  • Higher education is preferred; additional certification in Office Management is a plus;

  • Basic knowledge of accounting and financial principles a plus;

  • Driving license a plus;
