Job Description
As Executive Assistant to the CEO, you will serve as the central coordination point for executive activities. You ensure clarity, structure, and follow-through across strategic and operational topics.
This role requires discretion, precision, strong organizational skills, and the ability to manage complexity in a fast-moving environment.
Key Responsibilities
Executive Support
- Manage the CEO’s calendar, priorities, and time allocation
- Coordinate meetings, appointments, and business travel
- Prepare agendas, documents, and briefing materials
- Ensure structured follow-up on action items
Communication & Coordination
- Act as a key interface between the CEO and internal/external stakeholders
- Prepare professional correspondence and presentations
- Coordinate leadership meetings and document outcomes
- Ensure clear communication across departments
Organizational Structure & Tracking
- Monitor strategic initiatives and track progress
- Support KPI reporting and executive dashboards
- Prepare management summaries and reports
- Ensure deadlines and priorities are maintained
Administrative Excellence
- Handle confidential information with absolute discretion
- Manage contracts, documents, and executive records
- Support budgeting coordination and expense tracking
- Improve executive office processes where necessary
Requirements Qualifications
- Proven experience as an Executive Assistant or similar senior support role
- Excellent organizational and time-management skills
- Strong written and verbal communication skills (German and English preferred)
- High level of discretion and reliability
- Structured, detail-oriented, and solution-focused mindset
- Ability to prioritize in a fast-paced, performance-driven environment
